Behind the Scenes of Hosting a Party From Scratch

So, you decided to host a party...

Hosting a party may look effortless when guests arrive, but every gathering begins with dozens of decisions made behind the scenes. When I planned the launch party for Eclectic Host Living, the first question I asked myself was, “What do I want this event to say?” Since the blog is centered around thoughtful hosting, approachable recipes, and bringing people together, I wanted the party to reflect those same values. That vision became the foundation for every decision that followed.

Its going to be amazing, but lets keep it real!

Once I had a vision for the party, it was time to build the menu. This is where it's important to be realistic about your time and energy. As tempting as it is to fill the menu with ambitious recipes, not every dish needs to be a labor of love. I considered making my Harvest Salad Fresh Rolls, but they require hours of preparation. Instead, I opted for a beautiful harvest salad that delivered the same flavors with a fraction of the effort. When planning a menu, ask yourself what can be made in advance, where you want to invest your energy, and which shortcuts will allow you to spend less time in the kitchen and more time with your guests.

As I refined the menu, I also considered the dietary needs of my guests and looked for ways to make small, intentional adjustments instead of creating entirely separate dishes. The vegan and non-vegan options shared many of the same ingredients, which kept the menu cohesive. For example, the feta in my harvest salad also became the base for my Greek whipped feta tart. For my vegan guests, I created the same tart with a hummus base, allowing both dishes to share many of the same ingredients and Mediterranean-inspired flavors while still accommodating different dietary needs. I applied the same mindset to my gluten-free guests as well. Instead of making a separate crust, I used a high-quality gluten-free flour blend for all of the tarts, so no one could tell the difference. The crust was also naturally vegan thanks to a simple swap of Crisco for butter. Thinking this way not only simplified prep, but also allowed every dish to feel connected and intentionally designed.

Details, details, details.

One detail that is easy to overlook is providing activities for your guests. If there are people attending who don't know anyone, or only know a few people, having something to do can help break the ice and ease those initial social jitters. Consider incorporating a simple craft, interactive food station, or game that naturally sparks conversation. For my launch party, I created a wine charm station where guests could customize their own wine charms, giving them something fun to work on while also creating opportunities to connect with one another.

Since this was technically a cocktail party, I also wanted the beverage to feel inclusive for everyone, including guests who don’t drink or who may be avoiding alcohol. I created a blueberry-sage lemonade I named the Blueberry Trust Fund that could easily stand on its own as a refreshing mocktail, with the option to add vodka for those who wanted a cocktail. To make things seamless for guests, I pre-poured the vodka into glasses so they could simply pour in the lemonade when they arrived. I also prepped cocktail ice spheres several days in advance to ensure everything stayed cold and effortless throughout the event.

Okay, now what?

Once the menu is fully decided, I build one cohesive ingredient list that pulls everything together across all recipes, rather than thinking in individual dishes. From there, I go through and check off what I already have on hand before turning it into a grocery list. If you’re anything like me, you may also prefer shopping at different stores for different items, so I organize the list by store to make the process more efficient. Ideally, this list is completed at least a week before the party so there’s enough time to shop intentionally, adjust as needed, and properly schedule out the rest of the event prep all while working a full 40 hour work week.

I work full time, how will this all come together?

Once your grocery list is dialed in, the next step is mapping out your schedule for the week leading up to the party. If you want the event to feel thoughtful and intentional, that often means doing small pieces of work throughout the week instead of saving everything for the day before or day of. I like to list out everything that needs to be done such as writing on chalkboards, creating a printed menu for guests, or planning trips to different grocery stores, then assign those tasks to specific days so the workload feels manageable. From there, I start identifying what can be made in advance. For my Eclectic Host Living launch party, I marinated the tofu for the vegan feta and made the salad dressing the Friday before the Sunday event, which meant those items were already done and waiting when it was time to assemble everything.

11:30 AM- Glam!

On the day of the party, I like to create an hour-by-hour schedule leading right up to guest arrival. By this point, most of the major planning is done, but there are still plenty of small tasks that can easily slip through the cracks if you aren't intentional about your time. Having a schedule helps ensure that food is assembled when it needs to be, decorations are finished, and last-minute details don't get forgotten. Most importantly, it forces me to block out time to get ready myself or I'll keep finding "just one more thing" to do until guests are pulling into the driveway. Building that time into the schedule allows me to feel relaxed, confident, and ready to actually enjoy the party I've worked so hard to create.

At the end of the day, hosting a memorable gathering isn't about creating a perfect event—it's about creating an experience that makes your guests feel welcome, comfortable, and cared for. While thoughtful planning, detailed schedules, and carefully crafted menus all play an important role, the real magic happens when the guests arrive. By spreading the work out over time and making intentional decisions along the way, you can spend less time feeling stressed and more time enjoying the celebration right alongside your guests.
